Track costs, scan receipts and log time
Photograph a receipt and the AI files it against the job. Workers clock in and out from a personal link — no app, no login — and the job's margin updates in real time.
Receipts and costs
- On the job page, open Costs and click Add receipt. Take a photo or upload the PDF from the supplier.
- The AI reads the vendor, date, line items, taxes and total, and proposes a category (materials, equipment, subcontractor, other). Check it, fix anything, save.
- Enter costs without a receipt by hand — a subcontractor's invoice, a dump fee, a rental.
Each cost is charged against the budget line from the setup review, so the job page shows budget vs. actual per category and the projected margin. Confirmed costs sync to QuickBooks or Wave when connected.
Worker time (Elite)
- Open Team and add a worker with their hourly cost. Click Time-entry link: a personal link is emailed to them, or copy it and send it by text.
- The worker opens the link on their phone, picks the job and taps Clock in. No account, no app to install. The link is valid for 6 months; issue a new one to replace it or revoke it from the worker's row.
- If the job has a site location, the clock-in records how far from the site the worker was, so you can spot entries made from home. Nothing is tracked between clock-in and clock-out.
- Time entries appear on the job as labour cost at the worker's rate. You can add or correct entries yourself.
Payroll export
Team → Export gives you a CSV of hours per worker per period for your payroll provider. QuoteAI does not run payroll itself.
